Manage Multiple Gmail Accounts in One Inbox

Turn on Account Linking

Follow these steps to link multiple accounts from a laptop or desktop computer. Once activated, this Gmail feature uses one account as the primary receiver for all accounts. You’ll still be able to switch easily between individual profiles and respond to emails from individual addresses.

  1. Start in the account that will become the primary account
  2. In the top right corner of the browser, select the "Settings" icon

  3. Under “Quick Settings” select "See all settings"
  4. Select the fourth tab from the left, titled "Accounts"
  5. In the "Send mail as:" section, select “Add another email address
  6. Enter the corresponding address name and select “Next Step
  7. Click the "Send Verification" button
  8. Verify your secondary email address
  9. Select your default way of replying
  10. In your secondary account, go to "Settings" > "Forwarding and POP/IMAP" > "Forwarding:"
  11. Click "Add a forwarding address" and enter your primary account's Gmail address
  12. Copy/paste the confirmation code to confirm your forwarding address
  13. Choose a forwarding option

Import Emails From Non-Gmail Accounts

It is also possible to use your primary Gmail inbox to send and receive emails from non-Gmail accounts. You will only be able to import emails from up to five other accounts. If you need to import more than five accounts, the best option is to have the emails forwarded.

  1. Start in the account that will become the primary account
  2. In the top right corner of the browser, select the "Settings" icon
  3. Under “Quick Settings” select "See all settings" 
  4. Select the fourth tab from the left, titled "Accounts"
  5. In the "Check mail from other accounts:" select “Add a mail account”
  6. Add the email accounts from which you want to import messages
  7. Follow the verification process

Manage Signatures for Multiple Gmail Accounts

Once you've added your secondary Gmail accounts to your primary inbox, you can easily assign a unique email signature to each of them.

  1. Start in the account that will become the primary account
  2. In the top right corner of the browser, select the "Settings" icon
  3. Under “Quick Settings” select "See all settings" 
  4. Scroll down to "Signature:"
  5. Select "Create new" if you don't have a signature yet, or select each email address added to your account to edit its signature
  6. Click "Save Changes" at the bottom of the page

Set up Multiple Gmail Inboxes

Once you've connected all the Gmail accounts to your primary account, you can also set up groups of emails for your primary inbox. Gmail Multiple Inboxes are essentially mini inboxes within your primary inbox that allow you to see categorized emails.

  1. Start in the account that will become the primary account
  2. In the top right corner of the browser, select the "Settings" icon

  3. Under “Quick Settings” select "See all settings"
  4. Select the third tab from the left, titled "Inbox"
  5. Select the "Inbox type” aa “Multiple Inboxes
  6. Under "Multiple Inbox Sections", assign search queries to your inboxes
  7. Give your inboxes a name (optional)
  8. Choose how many conversations inboxes display
  9. Select the position of your multiple inboxes
  10. Click "Save changes"

Can a Gmail account have multiple users?

Click on the cog icon in the top right hand corner of your inbox and go to settings. Select the Accounts tab and scroll down to the Grant access to your account section. Click on the Add another account link and add the Google email address of the person you would like to access your Gmail account.
