How to change voicemail message on polycom phone

Both the community's Must Read First and the community's FAQ reference the basic minimum information a new or follow up post should contain.

This ensures the questions having to be asked are limited and any new or follow up post contains the right amount of details to ensure any voluntary participant within the community does not spend additional time chasing basic information.

As a reminder the basic information asked for:

  • Provide the exact Software Version of your Phone
  • Provide the Phone Model
  • Provide the Call Platform (aka openSIP,Skype for Business Online, Skype for Business on Premise, Lync)
  • Additional Polycom Infrastructure (RPRM,PDMS or BToE)
  • If applicable provide a backup of the phone in question

UC Software 4.0.0 or later via the Web Interface Utilities > Phone Backup & Restore > Phone Backup > Phone Backup

  • If possible provide a Log and either attach them or use the Code Tag.Consult the Troubleshooting Section found within the FAQ if applicable
  • If possible provide the MAC Address or Serial of the device
  • Provide details if the issue is a day 1 issue or only happened after an upgrade or any other relevant details

Whilst providing some of these details may not directly impact any possible answer the community can provide, it does enable Polycom to have an overview of the current software used. In addition other details allow us to check logs or look up a potential support partners if an issue needs to come into support. It also enables us to verify the entitlement for using features.

Polycom Phones subscribe to Microsoft Exchange so all the control for the PIN etc. is on the Microsoft End.

Polycom phones can utilize the Visual Voicemail which does not require any PIN to access simply via the Phone:

The URL for this depends on your organisation so please work with your Administrator on this.

This article is for changing your voicemail to an away greeting when you will be away from your desk. If you have never accessed or setup your voicemail greeting on your Bethel Polycom phone, follow the directions in this article

When you will be away from your desk, and you want to setup an away greeting, follow the directions below.

  1. Login to your voicemail by entering your voicemail password.
  2. Press 3 to record a new No Answer voicemail greeting
  3. Press 1 to compose your greeting

Changing Your Voicemail Message from an Away Greeting

When you are returning to your desk after being away, you may want to change your away greeting to another greeting by following the directions below.

  1. Login to your voicemail by entering your voicemail password
  2. Press 3 to record a new No Answer greeting
  3. Press 2 to listen to your current greeting
  4. Press 1 to compose your new greeting

Setting up Voicemail

To Set up Your Voicemail box:

  1. Click the Messages button on your phone. This will dial in to the Spectrum Voice portal.

  3. Enter your temporary voicemail password - If you do not have your temporary voicemail password, please see your system administrator. Your system administrator should be provided a Cut Sheet or User List from their Project Manager. This spreadsheet will list everyone’s password under the Voicemail Password column. However, if they do not have this spreadsheet, the system admin can log in to the Spectrum Tech Admin portal and reset a user's voicemail password.
  4. Your temporary password will expire immediately and you will be prompted to create a new voicemail password.
  5. Your new password must be between 4 - 8 digits long and can not be your extension or commonly used passcodes like 1111, 2222, or 1234, etc.
  6. Next, you will be prompted to record your name announcement. This recording is simply just your name or your name and job title. This is not a full voicemail greeting. The voicemail system will insert your name announcement in to generic greetings.
  7. After recording and saving your name announcement, follow the prompts to get to the Voicemail Main menu.

How do I change my voice message on my Voicemail?

In the Voicemail section, tap Voicemail greeting. Tap Record a greeting..
To listen to the recording, tap Play. ..
To replace the recording, tap Redo..
To save the recording, tap Save. Enter a name for the new greeting and tap Save..

How do you delete a Voicemail message on a Polycom phone?

1. From Home view, select Message Center. 2. Press Clear.
