If you’re using someone who uses both Outlook and Google Calendar for keeping track of your meetings or schedules, we highly recommend you make some changes. While the use of different features and UI does provide some variation, it’s easy to mix things up. Luckily, it’s possible to sync your Outlook and Google calendar to make things more clear. Here’s how.

Sync Google Calendar to Outlook Calendar

There are two ways to sync both the calendars. First off, you can try to sync your Google Calendar to Outlook. Or, alternatively, you can sync your Outlook Calendar to Google Calendar. Let’s first take a look at how you can sync your Google Calendar to the Outlook Calendar. 

  1. First, head to Google Calendar and log in.
  2. Then, in the My calendars section, click on three dots in front of the calendar you want to sync.
  3. Select Settings and Sharing. 
  4. On the next screen, click on Integrate calendar from the left panel.
  5. Copy the URL address under the Secret address in iCal format.

Now, head to your Outlook Calendar account, log in and follow the steps below:

  1. From the left-hand side, click on Calendar. 
  2. Click on the Add Calendar, and select Subscribe from web.
  3. There, paste the URL link you copied from earlier, type in a Calendar name, and click on Import.

That’s it. Do this and your Google Calendar will be synced into the Outlook Calendar. 

Sync Outlook Calendar to Google Calendar

Interestingly, you can also flip around the process, i.e., sync your Outlook Calendar with the Google Calendar. Here’s how.

  1. Go to Outlook.com and log in to your account. 
  2. There, click on the Settings option.
  3. From there, click on View all Outlook settings at the bottom.
  4. On the next menu, click on Calendar.
  5. Click on Shared Calendar from there 
  6. Scroll down to Publish a calendar, select drop-down menu and select Calendar.
  7. In the Select permissions and click on Can view all details.
  8. Finally, click on Publish.

Now, copy the ICS link and head to Google Calendar. In the Google Calendar menu, click on the Plus symbol in front of the Other calendars. From there, select From URL. 

Paste the ISC URL you’d copied earlier from Outlook, and click on Add Calendar.

And that’s all. Your Outlook Calendar will get synced with your Google Calendar. To delete the Calendar, simply click on the cross symbol (X) in-front of your Outlook and the Calendar will be deleted.

As you can see, the whole process of syncing two calendars is a super easy. All you’ve to do is go to individual Calendars of both services, copy the ICS links to calendar and paste them in the Calendar option of the respective calendars, and you’re done.

With Google Workspace Sync for Microsoft Outlook (GWSMO), you can manage your Google Workspace calendars from Outlook, including your primary calendar, calendars you create, and calendars other people have shared. Select the calendars you want to synchronize with Outlook, and these calendars display in Outlook's Navigation Pane that appears on the left side of the Outlook window.

If you track multiple calendars, you can improve performance in Outlook by choosing to sync only the calendars you need. Follow these steps to learn which calendars you can sync:

  1. Click GWSMO

    1. The GWSMO icon appears in the notification area, typically next to the clock. This area has been known historically as the system tray. From here, you can open the GWSMO settings.
    2. If you cannot find the icon, it might be automatically hidden within the overflow area. To view all icons, click the up arrow on the taskbar.
    3. Note: The icon only appears if GWSMO is running.

  2. Choose Select calendars to sync.

    The dialog shows all calendars associated with your Google Workspace account.

  3. Check a calendar in the Select calendars to sync dialog to display the calendar in Outlook's Navigation Pane. Uncheck a calendar to remove it from the Navigation Pane that can also help optimize performance in Outlook.
